Duties and Responsibilities

This internship position is located in the Administrative Unit of the Investigations Division (ID) of the Office of Internal Oversight Services (OIOS). OIOS is an independent office reporting to the Secretary-General and the General Assembly. ID/OIOS investigates reports of possible violations of rules, regulations, mismanagement, misconduct, waste of resources, and abuse of authority.

The Administrative Office supports the Division in planning, implementing, and reporting the utilization of resources, and covers all aspects of administration from recruitment, IT support, and finance.

The intern will be expected to:  

  • Analyze and update the Division's workforce statistics, conduct research, and assist with workforce planning and analysis to improve reporting, vacancy planning, and staff retention
  • Provide support to the Division's recruitment activities, including outreach activities, communication with short-listed candidates, preparing assessments, and scheduling interviews
  • Update the Division's staffing table, address list, and telephone directory, as needed
  • Maintain and file personnel records electronically, such as performance documents, training certificates, flexible working arrangements records, and others
  • Assist with a staffing level review and the preparation of post-classification documents and supporting material
  • Assist with tasks related to archiving of hard copy folders of investigation cases and HR-related documents
  • Assist with tasks related to inventory management: identification of equipment, scanning of asset codes, physical verification of equipment, and updating inventory lists. Follow up with staff members on equipment that is issued to them. Return outdated equipment to stock
  • Provide other administrative support for remote office operations and to staff members working remotely.

Work Location: In-person full-time or part-time with a minimum of 20 hours a week; combination of in-person and remote.

Expected duration: 3-6 months

Qualifications/special skills

Applicants must meet one of the following requirements:

  • Be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher)
  • Be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent).  
  • Applicants to the UN Internship Programme are not required to have professional work experience. However, a field of study that is closely related to Administration or Programme Mangement is required.
  • Applicants must be a students in the final year of their first university degree (bachelor's or equivalent), Master’s, or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or PH.D. Programme.
  • Applicants must have good knowledge of standard software applications, including MS Excel, MS Outlook, MS Word, MS PowerPoint, and MS SharePoint.
  • Previous administrative support experience is desirable. Previous experience in Human Resources Administration and statistics is desirable.
  • Previous experience in inventory and database management is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. Fluency in spoken and written English is required for the internship. Knowledge of another official UN language is an advantage.

Interns who are not citizens or permanent residents of the country where the internship is undertaken may be required to obtain the appropriate visa and work/employment authorization.
